2025 Public Show – Day 3

VOLUNTEER DUTIES

GREETER – Your job is to greet people as they enter and leave Festival. You will hand out programs, direct people to the various exhibits and restrooms, answer guest questions and assist in directing the flow of traffic to the trees.

VOLUNTEER CHECK-IN – You will staff the volunteer check-in table, assist volunteers in check-in and check-out for their shift, provide them with information on their assignments, hand out aprons and pins and answer general questions.

GIFT SHOP – Your job will be to sell Festival items in the gift shop. Gift Shop supervisors will assign you to specific areas such as stocking, packing and check-out. YOU MUST BE AT LEAST 18 YEARS OLD TO WORK IN THE GIFT SHOP.

TABLETOP TREES & WREATHS – You will monitor and ensure that the Tabletop Trees and Wreaths displays are fully stocked and retrieve additional items from storage as needed.  You will also walk the area and bring attention to the displays, answer guest questions and direct them to the checkout booth if/when they decide to make a purchase.

TRIBUTE TREE – Duties for this position will be defined as we get closer to the event.

RAFFLE TICKETS – You will be selling raffle tickets for designated items, as well as the Money Tree and Toy Tree, and assist guests in filling out and depositing their raffle tickets in the appropriate bin.  You will sell tickets either singularly or in packs and take money in return (note that packs CANNOT be broken up unless done so by the Raffle Chairperson.) You will keep cash from ticket sales on your person and safe at all times until collected by the Raffle Chairperson. Note that raffle ticket monies cannot be intermixed with 50-50 money. At the end of your shift you are responsible for turning over any remaining tickets and cash directly (and exclusively) to the Raffle Chairperson or a member of the Board of Directors. YOU MUST BE AT LEAST 18 YEARS OLD TO SELL RAFFLE TICKETS.

50-50 TICKETS – You will be selling tickets for the 50-50 drawing that will be held at the end of the Festival of Trees Public event (50% of income goes to the winner, and the other 50% to the Festival.)  You will promote the raffle and assist guests in filling out and depositing their raffle tickets in the 50-50 raffle ticket barrel. You will assist guests in depositing their tickets into the correct barrel, and notify the Raffle Chairperson if regular raffle tickets are deposited into the 50-50 barrel or vice-versa. If enough volunteers are available, you may be asked to walk the floor during the event (especially at the Preview Gala) and sell tickets to guests. You will distribute tickets and take money in return, and keep these funds on your person and safe at all times until collected by the Raffle Chairperson.  Note that 50-50 raffle monies cannot be intermixed with regular raffle monies. At the end of your shift you are responsible for turning over any remaining tickets and cash directly (and exclusively) to the Raffle Chairperson or a member of the Board of Directors. YOU MUST BE AT LEAST 18 YEARS OLD TO SELL 50-50 TICKETS.

SANTA PHOTOS – You will assist the Festival photographer with assisting lining up guests to take their photos with Santa, as well as general crowd control in the area.  You may also be asked to assist in the smooth changeover from one Santa to the next.

FRIENDSHIP ORNAMENT SALES – You will be assigned to the area around the Friendship Tree, answer guest questions about the ornaments, promote ornament sales, take orders and retrieve packaged ornaments from storage. You may also be asked to remove ornaments from the Friendship tree and package them for sale as stock wanes toward the end of the week. When an ornament is sold, you will direct customers to the checkout booth to make payment and receive their ornament. 

CHILDREN’S ACTIVITIES – You will be working one-on-one with kids in the Children’s Activities area, handing out supplies and assisting with hands-on craft projects. You will also restock items as needed, notify the Chairperson if more supplies are needed and ensure that children follow the rules so that our supplies are not prematurely exhausted.

CHECKOUT BOOTH – You will staff the checkout booth, take both electronic and cash payments and ensure the security of cash and sales records.  The checkout booth must be staffed by a minimum of two people at all times. You will maintain sufficient change in the cash drawer for cash transactions and return cash to the Festival office as needed to ensure that the drawer does not exceed $500 in cash or $1,000 in checks. You may also be asked to take electronic payment for Raffle and 50-50 tickets for guests who do not carry cash, and to assist in packaging Tabletop Trees and Wreaths for on-site sales. At the end of each day all financial transaction information (receipts/register tapes/cash) must be counted by 2 persons and the records returned to the Festival office. YOU MUST BE AT LEAST 18 YEARS OLD TO WORK IN THE CHECKOUT BOOTH.

FLOATERS – You will provide various duties as assigned by the Executive Committee and Volunteer Coordinator.  You may be asked to perform any of the above duties should an insufficient number of volunteers be available.  You will also assist with entertainment, checking in groups as they arrive and escorting them to the stage area.  You may be asked to assist in the operation of the lighting, projectors and audio systems, including plugging in / turning on all trees at the start of each day and turning everything off at the end of the day.

GENERAL INFORMATION

  • As a volunteer, you are a goodwill ambassador for Festival of Trees and the Children’s Foundation.  You should familiarize yourself with the mission and purpose of the Festival, and how guests can assist us in promoting this mission.  You should also be familiar with the floorplan so that you can direct guests as needed, so that they can see and experience all aspects of the event.
  • You must be 14 years of age to be a volunteer, unless accompanied by an adult who is assigned to work in the same area.
  • Chaperones volunteering with youth groups are expected to supervise their group.  Children or other family members of chaperones who are not part of the group should not he brought to the event unless there are other adults to supervise them.
  • You are free to enjoy the Festival displays after your shift, but please remain at your assigned position during your entire shift (until the next shift volunteer replaces you.)  You are responsible for letting other volunteers or a chairperson know if you need to take a restroom break, so your position does not go unstaffed while you are away.
  • All positions that involve money handling (e.g. raffle sales, gift shop, check-out booth, etc…) must be performed by adults.  Each position will involve a set maximum amount of cash that can be carried before alerting a staff member to return excess monies to the accounting office.  
  • Please check in at the volunteer sign-in table upon your arrival.  Directions to restrooms and all other Festival areas will be given to you at check-in.
  • Volunteer aprons, name badges and pins will be provided to help identify volunteers to our visitors.  Please return your apron to the volunteer sign-in table at the end of your shift.  The volunteer pin is yours to keep with our thanks.
